1. Overview
This Privacy Policy explains how REMIC collects, uses, stores, reviews, and protects information in connection with the REMIC AI Coach, a pilot study tool for LLQP Segregated Funds candidates.
The REMIC AI Coach uses email-based access, an AI tutor, conversation history, a session-gated study guide, and basic analytics to help users study and to help REMIC improve the product during the pilot.
2. Scope
This policy applies to the REMIC AI Coach website, landing page, signup flow, student dashboard, AI tutor, downloadable study guide, related service emails, and pilot analytics.
It does not replace the privacy policies that may apply to other REMIC websites, Moodle courses, payment systems, third-party course platforms, or other REMIC services unless those services expressly link to this policy.
3. Information we collect
Depending on how you use the service, REMIC may collect:
- Email address: used for signup, magic-link access, account identification, support, and approved communications.
- Consent records: timestamps and related technical records showing when you agreed to terms, privacy notices, marketing emails, conversation storage, and product-improvement use.
- Session metadata: signup date, last active date, sessions per week, messages per session, and similar usage records.
- Conversation history: messages you send to the tutor, AI responses, timestamps, conversation titles, and related technical information.
- Study guide activity: whether and when you access or download the gated Seg Funds study guide.
- Technical information: IP address, browser, device type, approximate location inferred from technical data, error logs, security logs, and performance data.
4. Optional profile information
REMIC may ask for optional self-identification information to better understand pilot users and improve the study experience. Examples may include whether you are studying for LLQP, your target exam date, your MGA, employer, or similar short-answer or multiple-choice information.
You do not need to provide optional profile information unless a field is clearly marked as required.
5. Conversation data and sensitive information
Your conversations with the AI tutor are stored so you can return to prior conversations, so REMIC can monitor quality and safety, and so REMIC can improve the tutor during the pilot.
Do not enter Social Insurance Numbers, financial account numbers, client names, client files, personal financial details, health information, or other sensitive personal information. The REMIC AI Coach is a study aid, not a place to store personal, client, financial, legal, or confidential information.
If you accidentally submit sensitive personal information, contact REMIC and request deletion. REMIC may also configure the tutor or admin tools to flag potential PII and ask users to remove it.
6. How we use information
REMIC may use information collected through the REMIC AI Coach to:
- provide access through magic-link authentication;
- operate the student dashboard, chatbot, conversation history, and study guide download;
- respond to support, privacy, deletion, and account requests;
- send service-related messages, including magic links and important account notices;
- send marketing emails where you have consented;
- analyze pilot performance, including signups, active users, session length, messages, drop-off points, and study guide downloads;
- review tutor quality, identify errors, tune prompts, improve study support, and prioritize product changes;
- protect the service against abuse, security incidents, scraping, rate-limit evasion, or unauthorized access;
- comply with legal, regulatory, accounting, security, and business obligations.
7. AI processing and knowledge grounding
When you send a message to the tutor, your question and relevant conversation context may be processed by AI model providers and related infrastructure providers so the tutor can generate a response.
The tutor is intended to use retrieved REMIC Seg Funds manual content, system instructions, and recent conversation context to answer questions. Do not include information in your messages that you do not want processed by the AI service or stored in your conversation history.
8. REMIC admin review of conversations
Authorized REMIC team members may review user conversations for quality assurance, safety, support, analytics, product improvement, prompt tuning, and issue investigation. The admin view may allow designated personnel to read conversations, search across topics, review usage, and identify common student questions.
Access should be limited to authorized users with a legitimate product, support, quality, or compliance need.
9. Marketing consent and communications
The signup form includes consent language for receiving emails from REMIC about LLQP study support and related products. If you consent, REMIC may send study tips, sample exam questions, product updates, pilot follow-ups, feedback requests, and information about REMIC LLQP courses or related offerings.
You may unsubscribe from marketing emails using the unsubscribe link in those emails. REMIC may still send service-related emails where needed to operate the service, such as magic links or important account notices.
10. Analytics and product improvement
REMIC may use analytics to measure pilot performance, diagnose issues, understand how users move through the service, and evaluate whether the product is ready for partner rollout or future monetization.
Where practical, REMIC may use aggregated or anonymized information to report on usage trends, common question topics, qualitative feedback, cost per active user, conversion signals, and product performance.
13. Retention
REMIC may retain account records, consent records, session metadata, conversation history, analytics, and support records for as long as needed to operate the pilot, provide the service, improve the tutor, meet compliance obligations, resolve disputes, and maintain security.
Retention periods should be finalized by REMIC counsel and documented before launch. Users may request account and data deletion as described below.
14. Security
REMIC uses reasonable administrative, technical, and organizational safeguards intended to protect information in the REMIC AI Coach. Examples may include session-gated access, magic-link authentication, role-based admin access, rate limits, logging, secure hosting, and access controls.
No online service can guarantee perfect security. You are responsible for keeping your email account secure and for not sharing magic links or access with anyone else.
15. Your choices and rights
You may contact REMIC to request access to information associated with your account, correction of inaccurate information, withdrawal of marketing consent, or deletion of your account and associated data.
REMIC may need to retain limited information where required for legal, security, backup, audit, or legitimate business purposes. REMIC may also need to verify your identity before acting on a privacy request.
16. Children
The REMIC AI Coach is intended for LLQP candidates and is not directed to children. If REMIC learns that information has been collected from a child in a way that requires parental consent or deletion, REMIC will take appropriate steps according to applicable law.
17. Changes to this Privacy Policy
REMIC may update this Privacy Policy as the pilot evolves, vendors are finalized, new features are added, or legal requirements change. Updated versions will be posted on this page with a revised effective date or version number.
